What a China sourcing agent actually does

Buying from a Chinese factory over email has three structural weaknesses. You rarely know whether the company answering you is the manufacturer or a trading layer sitting above it. You have no independent way to judge whether the first price you are offered is the market price. And you are usually asked for a deposit and a balance before you ever see the goods. A sourcing agent exists to close those three gaps on the ground.

We start from the product rather than from a supplier list. Your specification, target landed cost, order volume and destination country decide which manufacturing clusters are worth approaching: electronics in Shenzhen and Dongguan, hardware and tools in Zhejiang, textiles and apparel across Guangdong and Fujian. We contact factories directly, screen their business licence and export record, request samples where the category justifies it, and return the quotations side by side so the price differences are visible rather than rhetorical.

The second half of the work happens after the order is placed. We review the proforma invoice and the bank details before you transfer, hold the production schedule, run pre-shipment inspection at AQL 2.5 unless your category needs a tighter level, and prepare the export documents for FOB, CIF or DDP depending on how much of the route you want us to own.

What you receive is not advice but artefacts: a supplier comparison sheet, negotiated quotations with MOQ and tooling costs separated, inspection reports with photographs and measurements, and shipping documents that match the commercial invoice. Those are the files your finance and compliance teams will ask for later, which is why they are produced as a matter of course rather than on request.

Three ways to work with us

Most buyers start with a single order and move to one of the two ongoing models once the first shipment lands. The engagement model decides who carries which risk, so it is worth choosing deliberately.

Engagement Best for Typical order profile What you receive
One-off sourcing A first order with a new factory, or an ad hoc purchase Trial to mid volume, one SKU or a short range Verified factory shortlist, benchmarked quotes, sample coordination, pre-shipment inspection report
OEM / ODM development Private label and custom products that do not exist yet Tooling plus a production run Factory matching by process capability, quotation with tooling cost split out, sample iterations, mass production QC
Ongoing procurement Repeat buying across several SKUs or suppliers Monthly or quarterly replenishment Consolidated orders, scheduled inspections, consolidated shipping, monthly status reporting

Frequently asked questions

What does a China sourcing agent charge?
Fees are usually structured one of three ways: a commission on the order value, a fixed project fee for development work, or a per-inspection fee where you already own the supplier relationship. We confirm the model in writing before work starts, and the initial factory shortlist and price benchmark are not charged separately.
Can you handle a first order that is smaller than the factory MOQ?
Usually, yes. Factories set MOQ by production run rather than by customer, so the practical routes are to combine your quantity with an existing run, buy stock where the item is standard, or negotiate a trial quantity at a higher unit price. We tell you which of the three applies instead of simply passing the MOQ back to you.
Do you inspect the goods before I release the balance payment?
Pre-shipment inspection is standard on our orders. The report covers quantity, workmanship against your specification, packaging and carton markings, with photographs and measurements. If the goods fail, you decide whether to rework, discount or reject, and the shipment is held until that decision is made.
Which Incoterms can you ship on?
FOB, CIF and DDP are all workable. FOB keeps freight in your control, CIF simplifies things if you prefer one invoice to the destination port, and DDP means we handle duty and final delivery. EXW is possible but rarely the cheapest once inland transport and export clearance are counted.
How do you check that a factory is a real manufacturer?
Business licence and scope, an export licence where the category requires it, the factory address checked against the registered address, production equipment actually seen on a visit, and whether the company can show recent export documentation for comparable goods. Trading companies are not automatically rejected, but you should know which one you are buying from.
Do you replace my freight forwarder?
No. Many clients keep their own forwarder and use us up to the FOB point. Where consolidation helps, we hold the goods at a Shenzhen warehouse and hand over one shipment instead of five separate bookings.
